Privacy Policy

Last updated: 2 October 2026

This policy explains how Synctrixhub ("we", "us"), based in Saravanampatti, Coimbatore, Tamil Nadu, collects, uses, stores and protects your personal data when you visit synctrixhub.com, fill in our enquiry form, or contact us by phone, WhatsApp or email. We follow India's Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000.

The short version

  • We collect only what we need to answer your enquiry and serve you as a customer.
  • We never sell your data or share it for other companies' marketing.
  • We send marketing messages only if you tick the box asking for them.
  • You can ask us to see, correct or delete your data at any time.

1. What we collect

When you fill in our enquiry or contact form, or speak to our team, we may collect:

  • Contact details: your name, mobile and WhatsApp number, email address, city and state.
  • Business details: business name, your role, industry, and current website or domain.
  • Project requirements: the services you're interested in, budget range, timeline and anything you tell us about your project.
  • Referral details: how you heard about us, the name and contact of anyone who referred you, and details of anyone you choose to refer to us.
  • Consent records: what you agreed to and when.
  • Technical data: your IP address and basic request details, used only to prevent spam and abuse.
  • Customer records: if you become a customer, quotes, invoices and payment records.
  • Feedback: the star rating and comments you send us about our service, linked to your reference number.

If our team fills in the form on your behalf during a call or meeting, we record that they did so and that you agreed to it.

2. How we use it

  • To respond to your enquiry, understand your needs and prepare a proposal or quote.
  • To deliver the services you buy from us and support you afterwards.
  • To raise invoices, keep accounts and meet our tax and legal obligations.
  • To thank and keep track of the people who refer customers to us.
  • To follow up on your feedback and improve our service. We won't publish your feedback or name without asking you first.
  • To send occasional offers and tips, only if you opted in. You can opt out at any time.
  • To keep our website and forms secure and free from spam.

3. Why we're allowed to

We process your personal data on the basis of the consent you give when you submit our form or ask us to contact you, as allowed by Section 6 of the DPDP Act. You can withdraw consent at any time, just as easily as you gave it (see Your rights). Withdrawing consent doesn't affect anything we did before you withdrew it.

Some records, such as invoices, we must keep to comply with Indian law. We process these under the "legitimate uses" permitted by Section 7 of the DPDP Act.

4. Referrals

If you give us the details of a friend or contact who might need our services, please only do so if they would be happy to hear from us. When we contact them, we'll tell them who referred them and how we got their details. We'll contact them about our services only once unless they ask us to continue, and we'll delete their details promptly if they ask.

If someone referred you to us, we may let them know you got in touch so we can thank them. We won't share the details of your project with them.

5. Where it's stored and who we share it with

Your enquiry is emailed to our team and stored in a private Google Sheet that only authorised Synctrixhub staff can open. We use these trusted service providers, who process data on our behalf and under our instructions:

  • Google (Google Workspace / Google Sheets): to store and manage enquiries and customer records. Google may store data on servers outside India.
  • Our web hosting and email provider: to run this website and deliver emails.
  • WhatsApp (Meta): when you choose to message us there.

We don't sell, rent or trade your personal data. We will only disclose it to anyone else if the law requires it, for example to a government authority with a valid legal request.

6. How long we keep it

  • Enquiries that don't become customers: up to 24 months from our last contact with you, then deleted.
  • Customers: for as long as we work together, and afterwards for as long as Indian tax and accounting laws require us to keep invoices and records (typically up to 8 years).
  • Marketing preferences: until you opt out. After that we keep a minimal record so we don't contact you again.

If you ask us to delete your data, we'll do so unless the law requires us to keep it.

7. Your rights

Under the DPDP Act, you have the right to:

  • Access: get a summary of the personal data we hold about you and how we use it.
  • Correction: have inaccurate or incomplete data corrected or updated.
  • Erasure: have your data deleted when it's no longer needed for the purpose you gave it for.
  • Withdraw consent: stop us using your data, including for marketing.
  • Grievance redressal: complain to us and get a response.
  • Nominate: name someone to exercise these rights for you in case of death or incapacity.

To use any of these rights, contact us using the details in Contact and grievances. Please mention your enquiry reference number (for example SXH-261002-K7QF) if you have one. We may need to confirm your identity before acting on your request.

8. Cookies and browser storage

Our website doesn't use advertising or tracking cookies. If you leave our enquiry form half-finished, your answers are saved only in your own browser so you don't lose them. They're never sent to us until you press Submit, and they're cleared once you do. You can also clear them with the "Start over" link or by clearing your browser data.

Our pages load fonts and styles from trusted providers (Google Fonts, jsDelivr, cdnjs and unpkg). These providers receive your IP address so they can deliver the files to your browser.

9. Security

Our website uses an encrypted (HTTPS) connection. Form submissions are checked on our server, and only authorised team members can open our records. Passwords and access keys are kept outside the public website. No system is completely secure, but we take reasonable measures to protect your data as required by law. If a personal data breach affects you, we'll tell you and the Data Protection Board of India as the law requires.

10. Children

Our services are for businesses and adults. We don't knowingly collect personal data from anyone under 18. If you think a child has sent us their details, please contact us and we'll delete them.

11. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. If we make a significant change to how we use your data, we'll ask for your consent again where required.
